My profile
Objective
Allow the user to review and maintain their personal information, profile photo, password, theme preference, recent activity and QR code for scanning prescriptions, all from a single place.
What this tool is
It is a side panel (drawer) that opens from a button with a gear icon at the bottom of the side menu. From here you can:
- View your personal information (name, email, phone, company, branch, role).
- Change your profile photo.
- Switch between day and night mode.
- View your recent activity (last log records).
- Generate a QR code to link a device and scan physical prescriptions.
- Change your password.
- Log out.
Where it is located
At the bottom of the side menu of the application, there is a gear icon (a cogwheel). When clicking, the My profile panel opens on the right side of the screen.
Before starting
- Have the session started.
- To change the password, know the current password.
How to access the profile
- In the side menu, scroll down to the footer.
- Click the gear icon.
- The "My profile" panel opens with all sections.
What the panel shows
The panel is organized into six sections, in this order:
- Identity and avatar (profile photo, editable).
- User details (personal data, read only).
- System appearance (day / night mode, editable).
- Activity (last 5 records, read only).
- Prescription scanning (QR code, editable).
- Change password (editable).
- Log out (button at the end).
What information the user can view
User details (read only)

Personal data (name, email, phone) cannot be edited from the My profile panel. They can only be modified by administration from the Users module.
What data the user can edit

The activity is read only. The log out does not edit anything, it only closes access.
How to change the profile photo
- In the Identity and avatar section, click the Choose photo button.
- The operating system file picker opens.
- Choose an image (common formats: JPG, PNG, WEBP).
- The image is previewed and uploaded automatically.
- When the upload is complete, the "Photo updated" message appears and the image replaces the previous avatar.
How to delete the photo
- If you already have a photo, the Delete photo button appears (red color, trash icon).
- Click it. The photo is deleted.
- The avatar goes back to showing your initials.
If the image is too heavy or the format is not supported, the system may reject it. If you have problems, try with a lighter image or in JPG/PNG.
How to change the theme (day / night mode)
- In the System appearance section, click the Day or Night button (with sun and moon icons).
- The theme changes immediately throughout the application.
- The choice is saved for the next time you log in (both in this browser and in your user profile).
If for some reason the system cannot save the preference in your profile, a notice appears. The local choice (in this browser) is maintained anyway.
What is the "Activity" section
It is a summary of the 5 most recent records of your own log, in list format:
- Avatar + name (yours).
- Action you performed (for example "Appointment confirmed for Maria Lopez").
- Date and time when it occurred.
The activity is read only. To view more records or filter by date, open the Audit log from the bottom of the side menu.
What is the "Prescription scanning" section
It is a temporary QR code that is displayed on screen for 60 seconds. When scanned with an authorized device (mobile, tablet), you can link that device to your account to scan physical prescriptions and convert them into digital ones.
How it works
- When opening the panel, the system generates a QR with a temporary URL and an expiration time.
- Below the QR a counter appears showing the remaining seconds.
- When there are few seconds left, the QR refreshes automatically. You can also refresh it manually with the Refresh QR button.
How to use the QR
- On the device you want to link, open the prescription scanning application.
- Scan the QR in the panel.
- The device application is linked to your account.
- From that moment on, the device can scan physical prescriptions.
The QR cannot be reused once expired. If it expires before scanning, click Refresh QR.
How to change the password
The password change is done in two steps to validate that you are who you say you are:
Step 1: validate the current password
- In the Change password section, enter the current password.
- Click Validate.
- The system verifies. If the password is correct:
- A green check "Password validated" appears.
- The New password and Repeat password fields are enabled.
- If the password is incorrect:
- A red X "Incorrect password" appears.
- The new password fields remain disabled.
Step 2: enter and save the new password
- Enter the new password (minimum 8 characters).
- Enter it again in Repeat password.
- If both match, the Update password button is enabled.
- If they do not match, the warning "Passwords do not match" appears.
- Click Update password.
- On save, the "Password updated" message appears and the form resets.
If you modify the current password field after validating, the system will ask you to validate again.
How to log out
- In the Log out section (at the bottom of the panel), click the Log out button (red color, exit icon).
- The system closes the session and takes you to the login screen.
When logging out from the panel, no confirmation is shown. If you want to avoid an accidental logout, make sure you have saved all pending changes first.

Common errors
| Situation | What to do |

| The photo does not upload | Check the format (JPG, PNG, WEBP) and the size. If it persists, report to the technical team. |
| "Incorrect password" when validating | Verify that the current password is correct. If it was changed recently, try with the last one you remember. |
| Passwords do not match | Verify that both copies are identical (without spaces at the beginning or end). |
| The QR expires too fast | The system refreshes it automatically. If it does not refresh, click Refresh QR. |
| The activity does not load | Check the connection. If it persists, report to the technical team. |

Permissions
There is no explicit permission. The panel is available to all authenticated users.
Operational recommendations
- Keep the profile photo updated so the team recognizes you in the birthday bell and in the audit log.
- Change the password periodically (every 3 to 6 months) to keep the account secure.
- If you share the equipment, log out at the end of the shift.
- Use the appropriate theme for the environment (day mode in well-lit clinic, night mode on long shifts).
Relation with other modules
- Users and permissions: personal data (name, email, phone) are edited from that module when done by administration.
- Audit log: the "Activity" section shows the last 5 records. To view the full history, open the log from the side menu.
- Day / night mode: the "System appearance" section controls the visual theme. See Day and night mode.
