Objective

Cancel an appointment that will no longer take place, recording the reason and freeing the time slot in the schedule.

Before starting

  • Confirm that the cancellation was requested by the patient, doctor or administration.
  • Have the cancellation reason clear. The system requests it as a mandatory field.
  • Verify that the appointment is not in the states In consultation, End consultation or Paid. In those cases the system will not show the cancel option.

Step by step

  1. Enter the Schedule module and select the corresponding doctor's tab.
  2. Locate the appointment by day, time or patient.
  3. Click on the appointment. The Schedule actions drawer opens.
  4. If the user has AGENDA: ADMIN permission, the Cancel action will appear inside the "Actions" panel. If the appointment is not cancellable, the action appears disabled.
  5. Click Cancel. The Cancel schedule dialog opens with a summary of the patient and the original date.
  6. Select the Cancellation reason in the dropdown. It is mandatory.
  7. Optional: enter Additional comments with relevant details.
  8. Click Cancel schedule (red button in the dialog) to confirm.
  9. The system closes the dialog and the drawer, removes the appointment from the calendar and shows the success message.

Expected result

  • The appointment disappears from the current tab's calendar.
  • The appointment status changes to CANCEL and is recorded in the patient's history.
  • The time slot becomes available to create a new appointment.
  • The action is recorded in the system audit log.

Common errors

SituationWhat to do
The Cancel action does not appear in the drawerThe user does not have AGENDA: ADMIN permission. Request the permission from administration.
The Cancel action is disabledThe appointment is in In consultation, End consultation or Paid. Coordinate with cash box and the doctor to reverse the charge or close the consultation before cancelling.
The wrong appointment was cancelledCreate a new appointment and review the patient's history to resume follow-up.
The cancellation reason is not availableVerify that the cancellation reason catalog is configured in the Catalogs module; if it is missing, report to administration.
The dialog does not close after confirmingCheck the connection and try again; if the problem persists, capture evidence and report to support.

Suggested permissions

  • AGENDA: ADMIN required to view and execute the Cancel action.
  • AGENDA: WRITE is not sufficient for this operation.

Relation with other modules

  • Cash box: if the appointment already had a charge or advance payment, coordinate with cash box the refund or balance application.
  • Notifications and automations: the cancellation can trigger automatic messages to the patient or doctor, according to active rules.
  • Catalogs: cancellation reasons are maintained in catalogs; if the list is incomplete, update it there.
  • Prescriptions and medical studies: validate that there are no prescriptions or studies already issued linked to the cancelled appointment.
